COA and SDS have different purposes

A certificate of analysis summarizes results and specifications associated with a material or batch. A safety data sheet communicates hazard, handling and emergency information. One does not replace the other, and neither guarantees that every destination permits import.

Check document consistency

Product identity, supplier details and lot information should be consistent across the quotation, label, COA and shipping records. Review issue dates, units, results and approval fields. Resolve mismatches before dispatch, when correction is easier and less costly.

Commercial and logistics records

Depending on the transaction and destination, buyers may also need an invoice, packing list, transport details and other declarations. Requirements vary. The importer or its broker should confirm current local rules rather than rely on a supplier’s generic checklist.

Create a pre-shipment document gate

List required documents in the purchase order and require review before release. Assign responsibility for scientific document review and logistics review. A simple document gate reduces avoidable holds and creates a clear record of what was accepted.
